School credit card processing for tuition, fees and day care.

School credit card processing is mostly about families paying on a schedule. Tuition plans, weekly day care, registration and activity fees all need to be easy to pay and easy to track. We set up schools, colleges and day cares to collect on time without chasing parents.

Why tuition collection takes so much time

Front offices at schools and day cares spend hours each month chasing payments. Here is what we hear most, and how we set things up instead.

What you often find

  • Checks and envelopes collected at drop-off
  • Staff running each family’s card by hand every month
  • Card numbers written down and kept in the office
  • No way to pay a field trip or activity fee online
  • Card costs eating into a tight operating budget

At PayZoom

  • Recurring billing that charges on schedule automatically
  • Tokenized card and bank details, not paper on file
  • An online page for tuition, fees and one-time charges
  • ACH as a lower-cost option for regular tuition
  • Our margin shown, so you know what you pay

How school payments run on schedule

Getting paid on time comes down to three pieces: a schedule families agree to, payment details stored safely and an easy way to pay anything extra.

A set schedule

Tuition and day care billed weekly, monthly or by term through recurring billing.

Stored safely

Card and bank details kept as secure tokens, never on paper in the office.

Easy extras

An online payment page and mobile terminals for fees, trips and events.

The PayZoom Statement Review

  1. Send. Email us one recent processing statement.
  2. Read. We line-item every fee and separate what the card networks charge from what your processor keeps.
  3. Recommend. You get a plain-English answer. If you are already paying a fair price, we will tell you.
  4. Switch. If you move to PayZoom, we set up processing to fit your POS, gateway or cart.

Not only did PayZoom lower our costs, they analyzed our internal processes and made recommendations to improve workflow and provided new equipment so we could capture electronic payments at all points in the hospital and at off-site locations.

Questions merchants ask us

Straight answers. If yours is not here, call us and a real person will answer it.

How do tuition payment plans work?

A family agrees to a schedule, such as monthly over the school year, and gives permission to charge a card or bank account. The details are stored as a secure token and charged automatically on each date. Your office stops running payments by hand, and families stop getting reminder calls. We set the schedule to match your terms.

Should schools offer ACH for tuition?

ACH often costs less than cards, which adds up on large, regular payments like tuition. Many families like it for monthly plans. Others prefer cards for rewards or flexibility. Offering both gives families a choice. We set up ACH alongside card processing so both run through one relationship.

Can parents pay fees online?

Yes. We can set up an online payment page or connect a gateway to your website, so parents can pay registration, field trips, uniforms and activity fees from their phones. Those payments land in the same account as tuition, which keeps reconciling simple for your business office.

Do you work with day cares and colleges, not just K-12?

Yes. PayZoom works with schools, colleges and day cares. A day care usually needs weekly billing, a private school needs tuition plans, and a college may need online payments across several departments. We set up each one around how and when families pay.

Can we pass card costs on to families?

Some schools use a convenience fee for online payments or a surcharge on credit cards. Both follow card-brand rules, and education payments can fall under specific card-brand programs. Some states restrict surcharging. We help you review current rules before you decide, but we don’t give legal advice.

Send us one statement. We’ll tell you exactly what you’re paying.

No cost and no pressure. If your current rate is fair, we’ll say so. We typically reply the same business day.
