Medical and dental credit card processing for practices.

Medical credit card processing has to cover a lot of ground: copays at the front desk, balances paid online, payment plans that run every month, and card data that has to stay secure. PayZoom works with many medical and dental practices, and we set each one up around how its patients pay.

Where practices lose time and money

Many practices still chase balances by mail and phone, store card numbers in places they shouldn’t, and pay fees they never agreed to. Here is what we see, and what we do instead.

What you often find

  • Card numbers written on intake forms or kept in files
  • Payment plans run by hand every month
  • Statements mailed out with no way to pay online
  • A monthly PCI non-compliance fee on the statement
  • Terminals only at the front desk, nowhere else

At PayZoom

  • Card data stored securely with tokenization, not on paper
  • Recurring payments that run on schedule automatically
  • An online payment page patients can use any time
  • No non-compliance fees. We help you stay PCI compliant
  • Payment points wherever patients check out

How patient payments come together

A practice usually needs three things working at once: payments at the visit, payments after the visit, and security around both.

At the visit

Terminals at the front desk and other checkout points for copays and same-day balances.

After the visit

Online payments, payment by phone and recurring plans for balances owed over time.

Kept secure

Tokenization and PCI help so card data stays out of files and off paper.

The PayZoom Statement Review

  1. Send. Email us one recent processing statement.
  2. Read. We line-item every fee and separate what the card networks charge from what your processor keeps.
  3. Recommend. You get a plain-English answer. If you are already paying a fair price, we will tell you.
  4. Switch. If you move to PayZoom, we set up processing to fit your POS, gateway or cart.

Not only did PayZoom lower our costs, they analyzed our internal processes and made recommendations to improve workflow and provided new equipment so we could capture electronic payments at all points in the hospital and at off-site locations.

Questions merchants ask us

Straight answers. If yours is not here, call us and a real person will answer it.

Can patients pay their balance online?

Yes. We can set up an online payment page or connect a gateway so patients can pay a balance from a statement link or your website. That cuts down on mailed checks and phone calls to the billing office. Payments flow into the same processing account as your front desk, so reconciling stays simple.

How do recurring payment plans work for patients?

With the patient’s permission, the card or bank account is stored securely as a token and charged on a set schedule. Your staff no longer has to run each payment by hand, and patients don’t have to remember. We help you set up recurring billing so it matches the plan you agreed with the patient.

Will you charge us a PCI non-compliance fee?

No. PayZoom doesn’t charge non-compliance fees. Instead, we help you meet Visa and Mastercard rules and work through PCI compliance. For a practice, that usually means making sure card numbers are never written down or stored in open files, and that your terminals and online payments handle card data securely.

Do you work with medical and dental software?

PayZoom is platform-agnostic, so we try to fit processing to the practice management system you already use. Some systems have built-in payment connections, and others work best with a standalone terminal or gateway. Tell us what you run, and we will tell you plainly what fits.

Do you work with hospitals and multi-site groups?

Yes. Larger organizations often need payment points across departments and off-site locations, plus one view of every deposit. We plan the equipment and reporting together so a hospital or a dental group can see all of its card payments in one place.

Send us one statement. We’ll tell you exactly what you’re paying.

No cost and no pressure. If your current rate is fair, we’ll say so. We typically reply the same business day.
