Payment links and invoicing that get you paid sooner.
Payment links and invoicing work together: you send an invoice by email or text message from your own system, and the customer pays it through a secure page with a card or bank account. No phone tag, no card numbers read aloud and no checks in the mail.
Key facts
| What it is | A secure pay-now page per invoice |
| Customer pays by | Card or ACH, if offered |
| Card data handled by | The hosted page, not your staff |
| Sent from | Gateway, QuickBooks or ERP |
| Best for | Service, B2B and remote billing |
A payment link is a web address tied to a specific invoice or amount that opens a secure, hosted payment page where your customer enters their card or bank details. Adding payment links to your invoicing usually gets invoices paid faster and keeps card numbers away from your staff, email and files.
If you take payments by phone today, or wait on checks for invoices you sent weeks ago, payment links are one of the simplest upgrades available. This guide covers how they work, where they come from and what to watch for.
How a payment link works
- You create the invoice in your billing system, accounting software or gateway.
- A link is attached. The system generates a unique pay-now link with the amount and invoice number.
- The customer clicks and pays on a secure page, by card or, if you offer it, by bank account.
- The payment posts back. The invoice is marked paid, ideally automatically in your accounting software.
- Funds settle to your bank account like any other card or ACH payment.
The key word is hosted. The payment page belongs to the gateway, so the card number goes straight there and never touches your systems. That matters for security and for PCI compliance. It also means the customer sees a familiar, professional checkout instead of a form your team built in a hurry.
Where payment links come from
There are three common sources, and which one fits depends on where your invoices already live:
| Source | How it works | Good fit |
| Your payment gateway | Create a link or invoice in the gateway’s dashboard and email it | Occasional invoices, simple setups |
| Accounting software | Invoices from software like QuickBooks carry a pay-now link connected to your processing | Businesses already invoicing from their books |
| ERP or billing system | Your ERP, practice or membership software generates links through an integration or API | Higher volume, B2B, multi-location |
The best setup is usually the one that posts the payment back to the same place the invoice came from. If your team has to mark invoices paid by hand, you have saved the customer time but not your own.
A quick way to choose: list where your invoices are created today, who sends them and where payments are recorded. If all three are the same system, use the links built into that system. If invoices come from one place and payments are recorded in another, look for a connection between the two before adding a third tool. Every extra login is another place for a payment to go missing.
For multi-location businesses, check that each location’s links settle to the right account and show up in one combined report. Reconciling five separate dashboards at month end is the kind of work payment links are supposed to remove.
Why hosted pages help with PCI
PCI DSS is the card industry’s security standard. The more places card numbers pass through, the more of your business it covers. When customers pay on a hosted page:
- Staff don’t write card numbers on notepads or type them from phone calls.
- Card data doesn’t sit in email, voicemail or shared files.
- Your website and computers handle less sensitive data, which usually simplifies your PCI questionnaire.
You still have PCI responsibilities, but they are lighter. Our guide on what PCI compliance is explains the basics.
Be careful with links sent by text message or email from unfamiliar senders. Use a recognizable business name and, where you can, a consistent sending address, so customers can tell a real invoice from a phishing message.
Tips that get invoices paid faster
- Put the link at the top. A clear “Pay this invoice” button near the total works better than a link buried in the footer.
- Offer bank payment on large invoices. ACH often costs less on big amounts. See ACH vs. credit card for invoices.
- Send B2B data where you can. For business buyers using commercial cards, invoices with Level 2 and Level 3 data can qualify for lower interchange. See Level 2 and Level 3 data.
- Set reminders. A friendly automatic reminder a few days after the due date beats a collections call.
- Let repeat customers save a payment method, with their permission, so the next invoice is one click. For scheduled charges, see recurring billing.
- Disclose any surcharge. If you add a surcharge to credit card payments, it must be disclosed before payment, capped at 3% under card-brand rules and not applied to debit or prepaid cards. Some states restrict it.
Payment links versus a virtual terminal
A virtual terminal is a screen where your staff type in card details. A payment link lets the customer type their own. Both run through a gateway. Links are usually better for invoices, because the customer pays on their own time and your staff never see the card. A virtual terminal is still useful when a customer insists on paying over the phone. Many businesses keep both. What PayZoom does
We set up payment links through the payment gateway you already use or one of our gateway partners: Authorize.net, eProcessing Network, CyberSource or Paya. We offer QuickBooks invoicing, connect to SAP or QuickBooks, and build on a custom API when your billing system needs it. ACH can sit right next to cards on the same page. Our margin is shown on its own line, there are no early termination or non-compliance fees, and a real person answers when you call.

Questions merchants ask us
Straight answers. If yours is not here, call us and a real person will answer it.
Are payment links safe for my customers?
Yes, when they come from a reputable gateway. The customer pays on a secure, hosted page and the card data goes straight to the gateway. To help customers trust the link, send it from a recognizable business name and address, and use consistent invoice formatting so it doesn’t look like a phishing email.
Can I send a payment link without an invoice?
Yes. Most gateways let you create a link for a set amount, such as a deposit, a balance due or a one-off service. You can email it or paste it into a message. For ongoing billing, linking payments to invoices in your accounting software keeps your records cleaner.
Do payment links work with QuickBooks?
They can. Invoices created in QuickBooks can carry a pay-now link connected to your processing, and paid invoices can be marked automatically. PayZoom offers QuickBooks invoicing and connections to QuickBooks and SAP. We check how your books are set up before recommending the right connection.
Do payment links cost more than other card payments?
Payments through a link are card-not-present, like online and phone payments. Card-not-present payments generally carry higher interchange than tapped or inserted cards, because the fraud risk is higher. That cost is set by the card networks. Offering ACH on large invoices and sending B2B data can offset it.
Send us one statement. We’ll tell you exactly what you’re paying.
No cost and no pressure. If your current rate is fair, we’ll say so. We typically reply the same business day.
